Planning a corporate seminar: participant transport, from arrival to return

A 7-step method for office managers, HR teams, executive assistants and agencies building a seminar transport plan.

The essentials in 30 seconds

Start by collecting each participant's starting point, arrival time, train or flight number, luggage, specific needs and language. Group this data by location and time slot, build a timeline, then map the flows: arrivals, hotel to plenary, evening and returns. Assign one vehicle per flow and time slot, choose between scheduled shuttles and chauffeur hire according to how stable the programme is, and send each participant a short logistics message with a single contact.

Introduction

The first and last memory of a seminar

A late arrival pushes back the plenary; a badly timed return means missed trains. Transport opens and closes the event.

Since 2012 we have worked with the people who carry this responsibility. This guide is a work plan rather than a sales page; our corporate seminar shuttle page describes the service itself.

Step 01

Start with a participant headcount

A reliable plan rests on knowing who arrives, from where and when.

The data to collect at registration

Include logistics questions in the registration form from the start.

01

Starting point

Station, airport, office or hotel.

02

Arrival date and time

The real time at the pick-up point.

03

Train or flight number

To follow the actual schedule.

Build an arrivals table by time slot

Rows for arrival points, columns for time slots, with headcount and luggage in each cell. It is also the document to send your transport provider.

When should the list be frozen?

As soon as registrations stabilise. Later changes remain possible, but go through one person.

Step 02

Build the transport timeline

Raise transport as soon as the venue and dates are known, and work backwards from the day itself. To check a provider's reliability, see how to choose your private chauffeur.

Timeline checklist

  • 01Brief the provider, then validate the shuttle plan.
  • 02Send instructions, then give final confirmation.
  • 03Run the day with one contact, then review.

Step 03

Map the flows the most common patterns

A seminar is a series of flows, each with its own rhythm. Most events combine four patterns.

01

Station or airport → hotel or venue

Group arrivals by location and time slot. See our airport and station transfers, including Gare de Lyon and Gare du Nord.

02

Hotel ↔ plenary venue, every day

The most predictable flow: allow for rush hour and boarding time.

03

Evening and team dinner

One trip out, then two or three staggered returns announced in advance.

04

Final-day returns

Build a departures table that matches train and flight times.

For a seminar, the right transport is the kind nobody will remember.

Step 04

Choose the right vehicles by headcount and moment

One vehicle per flow and per time slot, not one for the whole seminar. For capacities, see Which vehicle for a group in Paris? and our fleet.

Step 06

Plan for the unexpected without being caught out

Four situations come up most often.

  • 01

    Late train or flight

Share the numbers so the welcome follows the real schedule.

  • 02

    Lost participant

A name sign and one single contact number.

  • 03

    Last-minute change

Sanaâ, your sole point of contact, coordinates the chauffeurs.

  • 04

    International participants

Translated instructions and a welcome in English or Japanese.

Step 07

Inform participants in one short message

A good logistics message can be read on a phone in under a minute.

What it contains

  • 01Meeting point and time.
  • 02Recognition sign and single contact.
  • 03Luggage instructions.

FAQ

What organisers ask us

Common questions when preparing seminar transport.

  • 01

How far in advance should seminar transport be organised?

Raise it once the venue and dates are known, then validate the plan when registrations stabilise.

  • 02

One vehicle per group or per time slot?

Think per flow and per time slot: what matters is how many people move at the same moment.

  • 03

How do you manage staggered arrivals?

Use an arrivals table by location and time slot, with vans running several trips.

  • 04

Yes: the coach for whole-group moves, vans for staggered arrivals and returns.
